MINUTES :

The Secretary wishes to record that the two working meetings held on the 16th September 1998- Mapping and on 20th October- The Anniversary, will not be formally minuted. The minutes for the meeting of the 7th October were used to progress this meeting. 

1 Harlow Development Steve K has phoned Tony Morton Harlow DC and he will be sending updates on the development adjacent to Gilden Way. 

2 Bridgefoot House Concern was expressed at the level of destructive work that is taking place on a listed building. Liz G was asked via Michael B if she could investigate the situation. 

3 The Anniversary The Memorial Hall has been booked for the 5th March 1999 for an evening function to celebrate and promote our first year.

3.1 Promotional ideas discussed:

Sending out New Year cards asking people to put 5/3/99 in their diaries; to lead Louise and Jake. See addendum for list of associations and people to invite.

A banner in Bell Street; Warren R to lead.

Advert or article in the Church and Town; Monya B to lead.

Print A5 fliers; Steve K to compose, house distribution by members or Post Office- L36 per 1000. Display in schools Doctors Dentists, Community Centres, shops, and Railway Station.

A special map of the area of interest supplied via David T  

 

Something for 1017FM.

A suggested title for the promotion "CAN YOU KEEP SAWB'TH SPECIAL and the rest of the Stort Valley" 

3.2 Planning the day:

Invite other organisations to have a display e.g.

British Waterways Jessica Wright 01992764626

Environmental Agency Penny Carmichael 2 Bishop's Square Hertford

Waste Awareness GD Howlett and Judy.

Bp's Footpath Association Charlie Watson

Ground Work Trust and their work near the Railway Station 

3.2.1 Requirements on the day

Invite WI to do tea and soft drinks: Hazel M to lead.

David T to organise supply of display boards-we define quantity. 

3.2.2 Planning

Produce a programme plan Jake L to lead

Do a Hall layout

Outline a budget. 

3.2.3 Promotional material

Money-apply for a LEAF grant.

Ask Select Signs Lester Brett for a quote re banner

Find cheap source of laminating posters and display material.

Approach Gail to support display and promotional pictures

Agree a mailing list with David T to include the original organisers of the International Exchange and members of the public who showed support.
